Refund & Cancellation Policy

1. General Policy

EaseZen Solutions operates as a service-based company. Every project requires time, planning, resources, and dedicated manpower from day one.

For this reason, all payments made to EaseZen Solutions are final and non-refundable unless explicitly stated otherwise in a written agreement.

2. Project Deposits (Non-Refundable)

Each project begins with an upfront advance payment. This deposit is 100% non-refundable under all circumstances.

  • Project cancellation by the client.
  • Change of mind or direction.
  • Budget issues or funding problems.
  • Internal team changes.
  • Delays caused by the client.
  • Failure to provide necessary requirements or materials.

Deposits are non-refundable because resources are allocated, schedules are booked, and planning begins immediately after payment.

3. Milestone Payments

Once work on a milestone has started, that milestone payment becomes non-refundable.

  • Work completed.
  • Hours invested.
  • Resources allocated.

Clients remain responsible for payments for any milestone already in progress, regardless of project cancellation.

4. Delivery-Based Refund Conditions

A refund may only be considered if all the following conditions are met:

  • No work has been delivered.
  • No resources have been allocated.
  • No hours have been logged.
  • No planning, documentation, or project materials have been created.

If any work has been started or resources invested, refunds will not be issued.

5. Client Delays & Unresponsiveness

If the project is delayed due to client unresponsiveness, incomplete requirements, delayed approvals, or lack of communication, the project will be paused — not refunded.

If there is no communication for 30 days, the project will be marked as Dormant.

Dormant projects may require a reactivation fee to continue.

6. Change of Scope / Requirements

Refunds will not be issued when clients change previously approved:

  • Wireframes
  • Designs
  • Modules
  • Features
  • Project scope or direction

Any change in direction requires additional payment according to the revised scope.

7. Digital Products

All digital products sold by EaseZen Solutions are non-refundable, including:

  • Templates
  • UI kits
  • Custom scripts
  • Plugins
  • Digital downloads

Once delivered or accessed, these items cannot be returned, refunded, or canceled.

8. Subscription-Based Services

For subscription services such as hosting, maintenance, monitoring, or updates:

  • Fees are billed on a recurring basis.
  • Payments already made are non-refundable.
  • Cancellation only applies to future billing cycles.

If a billing cycle has already started, the payment for that cycle is non-refundable.

9. Quality Assurance & Revisions

If work delivered meets all agreed-upon and approved requirements, a refund cannot be issued based on:

  • Personal preference changes
  • New ideas after approval
  • Desire for a different design approach

Revisions will be provided according to the signed agreement, not unlimited rounds or endless changes.

10. Project Cancellation by EaseZen Solutions

EaseZen Solutions reserves the right to cancel a project in cases of:

  • Client abuse or harassment
  • Failure to pay invoices
  • Excessive scope changes
  • Violations of the agreement
  • Client unresponsiveness for more than 30 days

In such cases, no refunds will be issued for previous payments.

11. Dispute Resolution

If a client has any concerns, they must:

  • Submit a written explanation of the issue.
  • Allow reasonable time for the issue to be investigated and resolved.

Refund demands without following the dispute process will not be accepted.

12. Acceptance of This Policy

By paying any invoice, signing any agreement, or working with EaseZen Solutions, the client automatically accepts this Refund & Cancellation Policy.
